Exam Reminders for Faculty
Learning Support Services (LSS) oversees both the Falvey Test Center and the Tolentine Test Center. The Office for Access & Disability Services (ADS) oversees the ADS Test Center.
Although these Test Centers are available to support student test takers, test proctoring is a shared responsibility among LSS, ADS, other departments, and professors. When able, professors should proctor their students and provide any needed accommodations.
When a student books an exam, faculty will receive an email which specifies whether the student will be taking the exam with the Falvey Test Center, the ADS Test Center, or the Tolentine Test Center. Please double check the location and start time for the student—it may be different based on where a student is registered or where and when we can find a seat. If a professor has a question about when the student has booked the exam, please reach out to the student and falvey.testcenter@villanova.edu, ods@villanova.edu, or tolentine.testcenter@villanova.edu to confirm the reason.
Space is limited for exam proctoring and is available on a first come, first served basis. Students must schedule at least 3 business days in advance to make sure they can get a seat at the time they need.
Falvey Test Center regular testing hours:
- Monday - Friday, 9:00 AM – 5:00 PM.
Falvey Test Center final exam hours:
- Saturday of Final Exam Week, 8:00 AM – 5:00 PM.
- Monday - Friday of Final Exam Week, 8:30 AM – 5:00 PM.
The Falvey Test Center provides proctoring for students with specific disabilities requiring exam readers, private rooms, and/or special equipment. Students who receive extra time to complete their exams will be accommodated to the best of our ability with the resources we have. This may cause faculty to have to support their own exams for some students. We ask students to check with professors before making an exam proctoring appointment. If faculty can provide the appropriate testing accommodations without assistance from the Falvey Test Center, please speak to the student so they can cancel their appointment.
ADS Test Center regular testing hours:
- Monday - Friday, 8:30 AM – 4:00 PM.
The ADS Test Center provides proctoring for students with specific disabilities requiring exam readers, private rooms, and/or special equipment. Students who receive extra time to complete their exams will be accommodated to the best of our ability with the resources we have. Tolentine Test Center regular testing hours:
- Monday, Wednesday, Friday, 9:00 AM – 5 PM.
- Tuesday, Thursday, 1:00 PM – 9:00 PM
Students who miss a class due to illness, athletics, or other concerns are able to reschedule their tests or quizzes in the Tolentine Test Center with their professor's permission. Students registered with LSS or ADS for testing accommodations who are unable to book an exam with the office they are registered with due to the high volume of test takers may also schedule tests or quizzes in the Tolentine Test Center.
Falvey Test Center, ADS Test Center, & Tolentine Test Center Proctoring Procedure Reminders
- Any exams uploaded to ClockWork can be viewed by the Falvey Test Center, the ADS Test Center, and the Tolentine Test Center.
- Professors who need to make changes to an exam that was previously uploaded to Clockwork, after 4 pm the day before the exam, should email the updated version to falvey.testcenter@villanova.edu, ods@villanova.edu or tolentine.testcenter@villanova.edu, depending on where the student is scheduled to take the exam.
- When reviewing a student’s scheduled test and completing the Test Information Form on ClockWork, professors should:
- Confirm that the student’s scheduled test times are correct. (i.e., Is the time that the class has to take the test/quiz the same as what the student scheduled without their accommodated time? Is it okay for a student to take a test at the scheduled time, with the understanding that sometimes tests are scheduled on different days/times due to the Falvey Test Center, the ADS Test Center, the Tolentine Test Center, or the student's availability?)
- When professors indicate a change of day or time in Clockwork, it doesn’t change the actual time for the student’s scheduled exam. It just sends a notification email.
- If you have a particular concern or question about a student’s scheduled test time (i.e., the exam is shorter or longer than listed) please contact falvey.testcenter@villanova.edu, ods@villanova.edu, or tolentine.testcenter@villanova.edu directly.
- Confirm that you have submitted the correct Password if the student is taking a Blackboard exam.
- Include contact information (phone number and/or email) for how you can be reached if a student has questions during the exam. And please remember to be available at that time so we can ensure that your students can get their questions answered within the timeframe of their scheduled exam.
- Confirm that the student’s scheduled test times are correct. (i.e., Is the time that the class has to take the test/quiz the same as what the student scheduled without their accommodated time? Is it okay for a student to take a test at the scheduled time, with the understanding that sometimes tests are scheduled on different days/times due to the Falvey Test Center, the ADS Test Center, the Tolentine Test Center, or the student's availability?)
- We encourage professors to send reminders to students who are registered with LSS or ADS about scheduling exams.
- Clockwork allows students to schedule at least 3 business days in advance, but we recommend that students try to schedule with us at least 7 days in advance due to the volume of students who need to have their exams proctored.
- Students do not have to take their exams in the Falvey Test Center, the ADS Test Center, or the Tolentine Test Center if you are able to proctor them and provide them with any necessary testing accommodations.
Blackboard exams
- If there is a password, please be sure to provide this to the Falvey Test Center, the ADS Test Center, and/or the Tolentine Test Center in advance of the exam. This can be done on via the Test Information Form on ClockWork.
- Faculty can set up the testing accommodations on Blackboard for individual students based on their specific start time and end time. UNIT has created a guide with directions for how to do this.
- Please consider proctoring exams with audio components. We have found that headphones often do not work when Lockdown Browser is being used. Students trying to listen to audio files or videos then have no way to access that section of the test without disturbing other test-takers.
- Please consider allowing the Falvey Test Center, the ADS Test Center, and/or the Tolentine Test Center to monitor the length of the exam, rather than setting the Blackboard exam to timeout. Unless you are confident that the exam is set to start and end at the correct times, our proctors can help by letting the student know when their time is up, regardless of the end time on Blackboard.
Delivering exams & Test Info form
Faculty can upload the exam to ClockWork, email it to falvey.testcenter@villanova.edu, ods@villanova.edu, or tolentine.testcenter@villanova.edu, or drop off a copy to the Falvey Test Center in Falvey 212, the ADS Test Center on the Second Floor of the Connelly Center, or the Tolentine Test Center in Tolentine 121, depending on the location where the student is taking the exam. Please double check the test confirmation email to determine the correct location. Please submit tests in a timely manner. Please keep in mind that when tests are submitted electronically (on ClockWork or via email), we then need to print them along with the testing information for the proctor. Regardless of delivery method, please make sure to fill out the Test Info Form on ClockWork. You should use this form to provide passwords, required materials, and special instructions for the test. This helps us administer and return your exam in a secure manner.
Faculty can upload exams to ClockWork or update the Test Info Form up to 12 hours in advance of the test. If it's less than 12 hours in advance, please email the test and any passwords, required materials, or special instructions to the appropriate Test Center.
Returning exams
Most professors request that we scan completed exams back to them. Please check your email for the exam before contacting the Falvey Test Center, the ADS Test Center, or the Tolentine Test Center about a missing exam. We generally send the exams from our Xerox machine, so they will arrive from the following address: vu-xerox@villanova.edu (Falvey Test Center or Tolentine Test Center) or OfficeOfDisabilityServices-Xerox@villanova.edu (ADS Test Center).
A note on blue books
If you would like students to take exams using a blue book, please specify this in the ClockWork Test Information Form. The Falvey Test Center, the ADS Test Center, and the Tolentine Test Center cannot scan blue books. The pages are thin and the scan is very difficult to read. (We can allow students to use lined notebook paper instead of a blue book, if that is acceptable to the professor. The notebook paper can be scanned.) Professors choosing to use blue books must pick up the completed exam in the Falvey Test Center, the ADS Test Center, or the Tolentine Test Center during regular business hours. If a student has an accommodation to use a laptop (instead of writing an exam by hand), we will allow them to use word processing instead of a blue book.
Troubleshooting
There are times when we need to reach out to professors during the exam in case there are typos, student questions, or issues with technology. If a cell phone is the best way to reach you, please provide your cell phone number in the Instructor Information Form on ClockWork.
Reduced distraction environment
A reduced distraction environment is an accommodation for a testing environment outside of the normal classroom where noise and visual stimuli are reduced. This can be in a separate classroom where other students with accommodations are taking the same test. Reduced distraction environment is not equivalent to a private room with no other students. Many professors may be able to provide students with this accommodation by reserving a nearby classroom through the Office of the Registrar or through their department. If you are unable to provide this accommodation, students with this accommodation may sign up with the Falvey Test Center or the ADS Test Center, depending on where they are registered.
Final exams start times
During finals week, the Falvey Test Center adjusts their hours and has three consistent start times per day. This is ensure that we are better able to support students taking their final exams with accommodations. Due to the volume of exams during this week, this consistent schedule also enables the Falvey Test Center to better manage the number of tests proctored for hundreds of students taking different exams with different professors and instructions throughout the week. This is all to ensure that the Falvey Test Center is able to provide students and faculty a seamless test taking experience.
During finals week, the Falvey Test Center is open Monday through Friday, 8:30 am - 5 pm with the following consistent start times: 8:30 am, 11:30 am, and 1 pm. We are also open on Saturdays from 8 am - 5 pm with the following consistent start times: 8 am, 10:45 am, and 1 pm. (Student with 100% extra time may start at 12 pm instead of 1 pm.)
The Tolentine Test Center will operate during finals week depending on demand. This will also determine test proctoring hours.

Yes! Please feel free to reach out to your class early and directly about a plan for students needing testing accommodations.
Sample email for when you will be able to provide extended time:
“We have a test coming up in two weeks. I will be able to provide extended time for students with approved testing accommodations through LSS or ADS. If you need additional accommodations that I cannot provide, please book a seat in ClockWork by ___________."
Sample email for when you know you will be unable to provide testing accommodations:
“We have a test coming up in two weeks. Because of scheduling or space restraints, I will be unable to provide any testing accommodations to students registered with LSS or ADS. If you plan to use your testing accommodations, please book a seat in ClockWork by ___________."
Are the Falvey Test Center, the ADS Test Center, or the Tolentine Test Center able to proctor remotely?
No. The Falvey Test Center, the ADS Test Center, and the Tolentine Test Center cannot accommodate remote proctoring requests. Please see Alternative Proctoring Solutions.
Can you proctor exams for students who are not registered with LSS or ADS?
Although the Falvey Test Center can only proctor exams for students who are registered with LSS and the ADS Test Center can only proctor exams for students who are registered with ADS, the Tolentine Test Center can proctor any student who misses an exam due to routine illness, athletics or other University-approved absences. If I plan to give the whole class extra time, do I need to provide additional time on top of that for students with testing accommodations?
Yes. Extra time accommodations needs to be calculated based on the time you give the class. For more information, please see How to Calculate Student's Accommodated Extra Time on Tests.
What if the Falvey Test Center, the ADS Test Center, and the Tolentine Test Center are fully booked and cannot assist with proctoring?
The Falvey Test Center and the ADS Test Center assist faculty with proctoring for students needing accommodations, but both Test Centers are limited in both space and staffing. Providing testing accommodations is a shared responsibility. If the Falvey Test Center or the ADS Test Center cannot assist, depending on where the student is registered, students with testing accommodations can schedule a test through the Tolentine Test Center.
However, if the Falvey Test Center, the ADS Test Center, and the Tolentine Test Center cannot assist, try booking a room or using departmental conference space. Consider asking a TA, GA, or colleague for assistance or review Alternative Proctoring Solutions to see if there is a technology solution that might work for you.
What happens if I have a change to my plans or availability?
If you plan to proctor a student and provide any approved testing accommodations then an issue arises, please do not assume the Falvey Test Center, the ADS Test Center, or the Tolentine Test Center will be able to assist. We will do our best, but we cannot guarantee last-minute support.
Similarly, if you change the date of your exam, please know this may remove the Falvey Test Center, the ADS Test Center, or the Tolentine Test Center as an option for proctoring assistance. For example, if a student books a seat for an exam on Monday, and then the professor emails the class Sunday that they are pushing the test to Wednesday, it then puts the student past the 3-business day booking window. It is possible the Falvey Test Center, the ADS Test Center, and the Tolentine Test Center do not have the same availability on Wednesday, so you will need to figure out a different plan to proctor the student and provide any approved testing accommodations.
