Frequently Asked Questions about ClockWork

FAQs for Students

Yes, you can still submit a hard copy of your documentation, but it is more secure to upload it to the ClockWork system when you are completing the Online Intake Form. If you completed the intake form without uploading your documentation, you can submit it via the Student Files section of ClockWork or we will accept your documentation in hard copy, faxed, or emailed. Please refer to the guidelines about How to Register with LSS or ODS.

No, your professors will not have access to your documentation or information about your diagnosis. Professors will only be able to see whether you have provided them with your accommodation letter or submitted a request to take a test with LSS or ODS.

You will be able to manually send any additional accommodation letters. These additional letters could be sent to your academic advisor, a professor who is co-teaching the class, but is not the lead professor, or to a coordinator for the class your advisors. Once you've initially sent your acccommodation letters to your professors, you will see the option to Get Letter in the Request for Accommodations section on ClockWork. By selecting Get Letter you will be able to download a copy of your accommodation letter to be shared.

All tests for both LSS and ODS should be booked through ClockWork

Learning Support Services (LSS) and the Office of Disability Services (ODS) provide test proctoring services when professors are unable to provide all required testing accommodations for a student. Quizzes, tests, and final exams must be booked at least 3 business days in advance to take a test with LSS or ODS.

LSS and ODS operate separate testing services. Please make sure you have selected the office that you are currently registered with for testing accommodations.

Students who are registered with LSS should select the LSS Test Booking link. Students who are registered with ODS should select the ODS Test Booking link.

For LSS test proctoring questions, please contact proctoring@villanova.edu or 610-519-5641.

For ODS test proctoring questions, please contact at ods@villanova.edu or 610-519-3209.

These email accounts are monitored during regular business hours (M–F, 9 a.m.–5 p.m.).

If you need to cancel a test, you can do this through ClockWork by viewing your My Upcoming Events within the Test Booking section of Clockwork and selecting Cancel next to the test you've booked.

Students who need to adjust or reschedule a test that was already scheduled should reach out directly to the office that they are registered with.

Students registered with LSS should contact proctoring@villanova.edu or 610-519-5641.

Students registered with ODS should contact at ods@villanova.edu or 610-519-3209.

These email accounts are monitored during regular business hours (M–F, 9 a.m.–5 p.m.).

Once LSS or ODS has confirmed this change, you will need to communicate the new test time to your professor.

If you are unable to sign up for a test, it may be because you are trying to book it less than 3 days in advance, at a time that conflicts with one of your other classes, or at a time when LSS or ODS is not open for test proctoring. It is also possible there are no more seats available at the time when you want to take the test.

If you are still having trouble scheduling a test, please contact the office you are registered with for help walking through the process.

Students registered with LSS should contact proctoring@villanova.edu or 610-519-5641.

Students registered with ODS should contact at ods@villanova.edu or 610-519-3209.

Students can only book tests with the office that they are registered with, even if there are no more seats available

If proctoring is not available when you need to take a test, you will need to get approval from your professor to take the test at a different time/day or coordinate a time for your professor to proctor you. You should also contact the office you are registered with to confirm that there are no available spots as this may be a glitch in the system.

Students registered with LSS should contact proctoring@villanova.edu or 610-519-5641.

Students registered with ODS should contact at ods@villanova.edu or 610-519-3209.

If you are unclear about a test question, we can contact your professor via phone or email. If we are unable to reach the professor, you can explain in writing what your question is and that will be returned to the professor along with the test or exam. It is the professor's decision on how to handle your question(s) and how it impacts your test grade. You will not be permitted to leave the testing room to speak with your professor in person or complete the test at a different time.

FAQs for Professors

No, LSS and ODS are continuing to operate separate offices and test proctoring services, but will both be using ClockWork to communicate  about accommodation letters and exam proctoring requests.

It should be clear from students' accommodation letters and original test booking confirmation emails which office a student is registered with. Please make sure you are communicating with and sending tests to the correct office.

If you have any questions or require assistance please contact LSS at 610-519-5176 or learning.support.services@villanova.edu, or ODS at 610-519-3209 or ods@villanova.edu

All accommodation letters for students who are registered with LSS or ODS can be found on ClockWork. You should also receive an email that will inform you when a student has sent you their accommodation letter. Please check out our guidelines about How to Access Students' Accommodation Letters for more information about this process.

Please Note: The students’ letter will specify which office the student is registered with and who you should contact if you have any questions.

LSS and ODS provide test proctoring services when professors are unable to provide all required testing accommodations for a student. Students should first check with their professor to see if the professor can proctor the test. If the professor is unable to proctor the test, then the student should schedule the test through ClockWork to take the test with the office that they are registered with.

LSS and ODS operate separate testing services. Please make sure you are sending the test to and communicating with the correct office. This should be clear from the original test booking confirmation email you’ll receive or from the student’s accommodation letter.

Log into ClockWork and select the Tests and Exams section for your course. Then select Confirm/Select under the Action tab. You will be able to edit the entire request in the same way that you did when you originally confirmed it. You will be able to update the test time in ClockWork up to 24 hours before the test is currently scheduled. If you need to make changes less than 24 hours in advance, please contact proctoring@villanova.edu or ods@villanova.edu, depending on where the student is scheduled to take the test, as soon as possible.

We expect students to take their tests on the same day and time as their class, unless there is a scheduling conflict due to a student's schedule (i.e., back-to-back classes) or proctoring availability.

If a student needs to schedule a test on a day or time that is different than the class time, professors must confirm that this new time is acceptable.

Students will not be able to change the test time within the ClockWork system after they have submitted the initial request. They will need to contact LSS or ODS to make these changes and will be reminded to contact you directly about these changes. You will be able to view and confirm these changes in ClockWork. Please refer to the guidelines on How to Confirm Students Test Requests for more information about this process.

Yes, you can, but we recommend that you upload your test to ClockWork as it is a more secure system. Please refer to the guidelines on How to Confirm Student's Test Request to learn how to confirm and upload a test in ClockWork.

Tests that are uploaded to ClockWork can be viewed by both LSS and ODS if students are taking tests in both offices for a specific class.

It is the student’s responsibility to request the accommodations they need for a specific test. They are expected to coordinate with LSS or ODS, depending on where they are registered, if they need to take a proctored test. You are welcome to check in with the student to remind them that they should do this and determine whether they want to use their accommodations for this test.

It is the student’s responsibility to schedule a test with LSS or ODS, depending on where the student is registered. Ideally students should request to take a test with our office before we receive a copy of the test from the professor. If you do send us a test before your students have scheduled it, we will hold on to the test and will destroy it if your students do not schedule a time to take the test.

If a student is registered with LSS, please refer to our Alternative Proctoring Solutions to learn about the various options to proctor students with disabilities if it is afterhours, LSS is not open, and you are not able to proctor the student yourself.

If a student is registered with ODS, please email ods@villanova.edu to discuss alternative proctoring solutions for students with disabilities, if it is afterhours, ODS is not open, and you are not able to proctor the student yourself.
