EVENT PLANNING
For those looking to host an event on campus, the following resources, policies, and procedures can assist with your planning.
Please note: Individuals external to the University community who are interested in hosting an event on campus should contact the Office of Conference Services.
Student organizations wishing to host an event should contact the Office of Student Involvement.
EVENT SPACE & USE

The first step in planning any campus event is to secure event space in VenueVU, Villanova's space reservation and event request portal.
Many essential Services, such as Facilities Management, Public Safety, and Parking, can also be requested through the system. It is recommended to review the guidelines for creating accessible events, as well as insurance and risk management policies, to ensure proper planning and compliance.
FOOD & ACTIVITIES

Villanova Catering is the University’s preferred provider for food and beverage service and should be used for most on-campus events. If additional items are needed, such as rentals or specialty services, you may need to contact approved outside vendors. We also provide specific guidance for bringing food trucks to campus and the use of fire pits.
PROMOTION

The best way to promote your event is to feature it on the University Events Calendar.
Events can be submitted to the calendar via VenueVU.
Villanova also provides additional ways of advertising your event:
- Campus Currents (Faculty and Staff)
- Wildcat Newswire (Undergraduate, Graduate and Law Students)
- The Villanovan newspaper
- Villanova University Social Media
- Villanova University Alumni Association Nova Notes (e-newsletter)
Campus departments can submit news releases to Media Relations.
