Event Planning

Whether you are planning a simple meeting or a multi-day event, the best place to start is to consider and answer some basic questions before you begin organizing your event:

  1. What is your goal in sponsoring the event?
  2. Who is your audience?
  3. When is the best time to hold your event?
  4. What resources are available to you?

As you begin this process, please keep in mind that you and your group are responsible for all aspects of your event. We are rolling out a new Event Management process for Spring 2021. Please complete the New Event Request Process Training and we will get you setup with your account to start adding events using the new process.

Make sure that you have planned ahead. Depending on the size and type of your event, additional steps may be required on your part, and a review will be completed by the Event Management Committee.

Event and Meeting Event Guidelines

All events sponsored by students, faculty, or staff must be registered through the Campus Events Submission Form. When registering an event it is important to complete and submit the request/registration form no less than seven days in advance. Registration for off campus events is encouraged so that the Campus Calendar includes all important University activities. 

Important Dates

There are several weeks and weekends throughout the semester that will be very difficult to schedule events or meetings.

Please check the academic calendar for important dates & contact events@villanova.edu with any questions.  

Please keep in mind the Major Holidays that may limit student, staff, and faculty participation.  


Note for Spring 2021

The Event Management Committee will centrally review all requests for events and is entrusted with approving only those that can be held safely and without infringing on the need for academic space.
