Villanova University is replacing our current timekeeping system, Kronos Workforce Central, with UKG Ready. This upgrade will provide increased functionality for all users in the timekeeping system, including timesheet self-service for employees, streamlined data and HR/payroll management for supervisors, and an increase in overall efficiency of time and attendance tracking for employees across the University.
UKG Ready at Villanova

Villanova University is moving time tracking and attendance to UKG Ready due to the forthcoming sunset of Kronos Workforce Central.
The UKG Ready system will
- capture accurate timekeeping data from time clocks and the web
- track true labor costs by enforcing and automating Villanova pay policies
- maintain compliance and payroll accuracy with simplified timecard management
- simplify time-off requests and approvals, provide visibility into each employee's current vacation and sick balances
- enforce Villanova accrual policies to help drive compliance and automated updates to vacation and sick balances
The first group of employees to move to UKG Ready include those who are currently tracking time on Kronos Workforce Central: Facilities Management and Auxiliary Services (the Inn at Villanova, Connelly Center, Mullen Performing Arts Center, Dining Services, and Conference Services).
UKG Ready will eventually be used by all non-exempt employees to track hours worked as well as time off, such as sick and vacation. Exempt employees will also track their sick and vacation using UKG Ready.
We plan to go live with the new UKG Ready system for our first group of FMO & Auxiliary Services employees on 4/24/2023.
Migration from Banner/Department Tracking to UKG Ready
Employees will track sick and vacation hours in UKG Ready. Employees requesting sick and vacation will log into UKG Ready and submit a Time Off Request form in the system. The request will be sent to their manager for approval, which will automatically update the employee's timesheet and accruals balance.
Non-Exempt Employees on Kronos Workforce Central
Non-exempt employees (employees eligible for overtime pay) who are currently paid through Kronos WFC will continue to clock in and out using their regular time clocks. They will use the system in order to request sick and vacation time by submitting a Time Off Request form which will be submitted to and approved by their manager.
Supervisors
Supervisors will receive notifications when they need to make approvals to timesheets, Timesheet Change Requests, Time Off Requests as they are submitted by their employees. They will be required to approve their employees' timesheets according to the pay schedules located on the Villanova Payroll website.
Future State
Non-Exempt Employees who do not currently use Kronos Workforce Central
Non-exempt employees (employees eligible for overtime pay) will clock in and out using either their computer or a timeclock, whichever is more practical for their operation. They will also use the system in order to request sick and vacation time by submitting a Time Off Request form which will be submitted to and approved by their manager.
Exempt Employees
Exempt employees will use UKG Ready to track their leave (sick and vacation) only. In order to request sick and vacation time, they will submit a Time Off Request form which will be submitted to and approved by their manager.

Employees
Will I have to clock out and in for meals?
Many departments will have a 30- or 60-minute lunch automatically deducted from their timesheet. Some departments will not have an automatic lunch deduction due to operational needs, so their employees will need to clock out and in for lunch.
All employees, regardless of whether or not their department has an auto-deduct, must clock out and in if leaving the University for their lunch break. An employee in a department with an auto-deduct who punches for their lunch in order to leave campus will only be charged once for their break, per their punches.
Supervisors
What is my UKG Ready log-in information?
Supervisors will access UKG Ready using their single sign-on (SSO) credentials.
