Registration and Arrival Information

Delegation Arrival

Friday, November 4th, 2016
11:30 a.m. – 2:00 p.m.*
Villanova Room, Connellly Center, Villanova University

*If arriving after Registration ends at 2:00 p.m., disregard the instructions below. Your bus should go directly to Pike Lot to drop off your athletes.

Buses & other automobiles will proceed on Lancaster Ave. (Rt. 30) until they reach the intersection of Lancaster and Ithan Ave. Buses & other automobiles will then turn left onto N. Ithan Ave. and proceed past Bartley Hall to the Main Entrance (guard tower). Buses & other automobiles will make a left into the Main Entrance and proceed past the guard tower to the Connelly Circle, a point clearly marked right before the Connelly Center, where athletes will be dropped off. At this point, SOPA staff and Villanova Public Safety officers will direct your bus or other automobiles around the circle and back out the same way they arrived.

  • All buses will be directed to make a right back onto N. Ithan Ave, followed by a right onto Lancaster Ave. Buses will proceed past the church to the Spring Mill Road intersection, where they will make a right. Buses will drive over the bridge over the train tracks, veer right around a loop, swing under the bridge, and drive straight towards West Campus, where Villanova Public Safety officers will direct the buses where to park.
  • All other automobiles will proceed straight across N. Ithan Ave towards the Pavilion, where they will curl around the side off the Pavilion, and park in the back lot near Villanova Stadium.

Note: This drop off route is only available for Delegation Registration on Friday and Athlete Drop Off and Pick Up for the Victory Dance on Saturday night! For the remainder of the weekend, buses may not enter Villanova University's main campus and must drop all athletes, coaches and spectators off in Main Lot.

Delegation Registration

Friday, November 4th, 2016
12:30 - 5:00 p.m.

ONLY THE COUNTY/AREA's HEAD OF DELEGATION (HOD) MAY ATTEND REGISTRATION!

STEP 1:  Only the county/area’s Head of Delegation may register.  The HOD will pick up the Welcome Packet for their delegation. The Welcome Packet will contain the following:

  • Competition and Special Events Schedules
  • Updates to the HOD Handbook and Coaching Guides
  • Housing Forms (to make any necessary changes)
  • Evaluations Forms

STEP 2:  The HOD must give the Computers & Registration Chairperson a cell phone number and the cell phone service carrier where he or she can be reached immediately in case of emergency. This will be added to a mass text database for Fall Festival.

STEP 3: The HOD will pick up credentials for all currently activated coaches and athletes. Alternates' credentials will not be available until after the alternate is activated.

STEP 4: The HOD will register with the Computers & Registration Chairperson. The HOD must present the Computers & Registration Chair with a list of scratches and activations at this time, as well as any missing information. Alternates will only be allowed to compete in the place of a scratched athlete or coach. Alternates will not be activated after Registration is completed. Registration fees will not be refunded for scratched athletes.

Housing Registration

Friday, November 4th, 2016

STEP 1: HODs must come with a copy of the housing form that was filled out as part of the delegation’s registration packet. Please verify that every athlete has been housed in your hotel.

STEP 2: After Hotel Registration, the HOD will pick up and distribute all room keys to the delegation.  Room keys WILL NOT be available before this time. The HOD is responsible for returning the room keys of any scratched athletes who did not attend Fall Festival, by 4:30 p.m. on Friday.

STEP 3: Any changes to housing arrangements must be made during Hotel Registration and coordinated with both the Hotel Representative and the Housing Chairperson no later than 5:00 pm on Friday.  It is the HOD’s responsibility to ensure that all parties are notified of the changes.

For security and medical reasons, no room assignments may be changed after the updated housing form is submitted.

Hotel Registration

Hotel Registration takes place Friday, Nov. 6th from 3:00 – 5:00 p.m. at the Connelly Center, Villanova Room.

STEP 1:  HODs should come with a copy of the NCR housing form that he/she filled out as part of his/her county/area’s registration packet.  Verify that all athletes have been housed in your hotel.

STEP 2:  After hotel registration, the HOD will pick up and distribute the room keys to his/her delegation.  Room keys WILL NOT be available before this time.  The HOD is responsible for returning room keys of any scratched athletes who did not attend the Festival.  They should return the keys to the registration table by 4:30 p.m. on Friday, November 4th.

STEP 3:  Any changes in room assignments must be given to the front desk of the respective hotel (yellow copy) and to S.O.S. (white copy).  Please keep the pink copy for your records.  For security and medical reasons, no room assignments may be changed after the updated housing form is submitted.
